Health, Safety and Age Requirements

Southwest Odyssey Tours tours travel to very remote locations that reach elevations of over 11,000 feet high. Outdoor summer temperatures can top 90 degrees, and in winter fall below freezing. This is a true 4x4 outdoor adventure of exploration and discovery where environmental conditions will vary greatly, possibly over short periods of time. On most days, several hours will be spent riding on dusty or muddy and bumpy dirt or gravel roads, and hiking uneven steps, stairs and trails in either desert, mountainous or mixed terrain. These tours are designed for active adults and young adults no less than 12 years old. Due to these facts, we ask that you be in very good physical condition. Please contact us with any questions you have concerning your ability to enjoy these adventures completely and safely.

We are happy to arrange custom itineraries for families with younger children. The youngest member of any tour must be 10 years old BEFORE departure date. We also require every tour member participating in any form of water activity or boating be a proficient swimmer and/or wear a life vest. A fully equipped first aid kit is included in each vehicle. Driver/guides are trained in Advanced First Aid, including CPR/CCP. Clients with any pre-existing medical conditions or health problems that could put their safety, or the safety of others at risk, are asked to check with a physician prior to travel, as a waiver of liability is required by a medical doctor. Passengers with any special medical requirements are required to bring the relevant medication in sufficient quantities with them, as we cannot be held responsible for obtaining it while on tour.

Suggested Clothing and Equipment List

Rain poncho or jacket, hiking shorts, cotton trousers, wicking t-shirts, light long sleeve shirt, extra socks, warm fleece or sweater, swimsuit, hat w/wide brim, (knit cap & gloves for Southwest Odyssey), bandanas, hiking boots, Chaco/Teva like sandals, beach towel, waterproof sunscreen, sunglasses, sturdy day pack and fanny pack, flashlight, water bottles, camera and extra media and batteries, any medication (in sufficient quantity), bug repellent, any personal items.

Luggage Limitations

All luggage can be no larger than international dimensions for carry on luggage. Each piece of luggage may not exceed 30 pounds.

Passports, VISAS & IDs

All clients must have all the personal photo IDs, paperwork, passports, visas etc. needed to cross into and around the United States as each tour requires. If you are unable to enter or exit any country due to lack of, or improper personal documentation, no refund will be given.

Insurance and Waiver of Liability

Our vehicles are insured according to all legal requirements in the countries where Southwest Odyssey Tours operates. The insurance includes liabilities toward our clients within the limits of the law. Passengers who wish to be covered by North American standards outside the USA are recommended to purchase additional insurance on their own, prior to travel. We advise our clients to purchase travel insurance that includes trip cancellation, flight cancellation AND emergency medical evacuation. We do not reimburse any fees if, for any personal reason, you are unable to complete the tour.

Included in Tour and Excursion Price:

One fully equipped 4x4 unit per every three to five persons unless private tour supplement is paid for fewer passengers per unit. Hotel rooms and all main meals during tour, service of escort unit with bilingual driver/guide, entrance fees to archaeological sites, national parks and monuments, state parks and monuments, tribal parks and monuments, museums and exhibits listed in itineraries en route, and English-speaking guides at all major sites.

Not Included in Tour and Excursion Price:

Any option or optional activity or event listed in the itineraries. Airfares, airport fees and taxes, immigration and visa fees, travel insurance, baggage charges, medical or evacuation costs, tips to drivers and guides, and personal expenses, i.e., laundry and telephone calls, bottled water, alcoholic beverages, etc.

Payments, Deposits and Cancellations

Due to the fact that there is a maximum of 12 people per tour, all reservations must be accompanied by a 30% deposit. Full payment must be received at least 60 days prior to departure date. Cancellations, received in writing, at least 60 days prior to departure, will result in an administrative charge of $350.00. Cancellations received less than 60 days before departure will not receive a refund. Southwest Odyssey Tours reserves the right to cancel a tour due to inadequate registration. All payments will be refunded should we cancel a tour.

NOTICE:

Due to unknown and unexpected circumstances such as extreme weather, impassable routes, mechanical problems etc., all itineraries, routes, hotel accommodations, meals etc., are subject to change at any time. We will do our very best to substitute similar activities everywhere we can.
